Procedure

Before the visit

Two ways of going about this organising a visit:

1Come up with an idea on a staff exchange.
 Contact the museum(s) you want to send people to.
 Think of the goal you want to reach with this exchange.
 Together with the receiving museum: write a program, decide on length of the visit, activities and when the exchange is going to take place.
 Fill out the application form. Be sure to do this a month before the exchange is going to take place or longer.
 You will get a reply within 5 workdays.
   
2 If you are organising a staff exchange program, contact the other partners, think of activities they can do and write a programme.
 The partners that will be sending people to your project will have to fill out the application form. Be sure to do this a month or longer before the exchange is going to take place.
 How the staff exchange costs are shared between the host and the invited party depends on all partners involved and need to be mentioned in the application.
 You will get a reply within 5 workdays.

OAM Calafell keeps the global picture based on among others budget and balance of activities and work packages. OAM Calafell decides about staff exchanges.

After the visit

Like all other costs of the OpenArch project, keep all tickets and invoices (include boarding pass of the flying tickets), and upload them to the ONCAT software tool.
Write required reports (the person who went to the other museum has to do this see Add Content/Staff Exchange Report). The reports have to be submitted within two weeks after the visit. It will be published on the website, available for everyone to see.
